Background:

Everest Club is a non-profit making non-government organization established in Dailekh. It is registered in DAO Dailekh on 1993 AD and affiliated with Social Welfare Council, Kathmandu and various provincial and national networks and alliances having similar vision. It is dedicated for the holistic and integrated development based on a harmonious balance of socio-culture, material and organization trusted on teamwork and development through community mobilization. We works for Child Rights and Governance,WASH, Education, Health, Water and Sanitation, Food Security, Livelihood, Youth Empowerment, Women Empowerment, Social Security, DRR/Resilience and Climate Change.

In Partnering with Save the Children, we are implementing the "POWER4AY, CSO Strengthening-SIDA"SANKALP", CSSP-"PAHUNCH" Project and SCNZ Integrated Early Start Project" in Dailekh District of Narayan Municipality, Dullu Municipality, Aathabis Municipality and Thatikandh Rural Municipality. Under the project, EC Dailekh is seeking suitable, qualified, dynamic and motivated Nepali citizens for the position. 

ROLE PURPOSE:

The purpose of this position is to support in day to day logistic and procurement activities and other support functions to run smoothly through office operation, Managing and ensuring effective provision all aspects of Everest Club (EC), Dailekh, S/he is also responsible for procurement related matter of the organization and facilitate the partners accordingly.

JOBS Description

  • A Manage and execute procurement of goods and services required for the organization following the guiding principles “Best Value for Money, Transparency, Accountability, Equal and Fair competition”.

  • Creating/Maintaining Procurement Plan and Sourcing Pipelines in coordinate with Finance and Program Department. 

  • Work closely with budget holders and department heads for procurement plan and analysis on expenses Vs plan.

  • Developing FWAs, agreement and contracts based on the Procurement Plan.

  • Conducting supplier/market analysis.

  • Develops and maintains an effective working relationship with vendors/suppliers

  • Keep updated him/herself about market dynamics.

  • Update the procurement tracker and report to line manager.

  • Work through supply chain model of procurement to deliver goods on time.

  • Support program department on special events e.g., seminars, workshops, retreat.

  • Leading Procurement Committees bring new ideas to selection criteria.

  • Called Procurement Committee meeting for the procurement process.

  • Create Sourcing Events (Request for Quotations/Open Tenders)

  • Stores all sourcing documents.

  • Manage Contracting activities and approvals.

  • Stores all standard Contracts, FWA Templates & Signed Agreements.

  • Identifying opportunities for FWA and demand aggregation

  • Bring and set new ideas in Negotiation skill.

  • Operate and insure day to day administrative work of the Everest Club (EC) Dailekh.

  • Ensure office stationery are sufficient, ensure printer cartage and print paper are sufficient, ensure office supplies and staffs communications payments.

  • Maintain Generator/bikes log sheet.

  • Prepared GRN/SCN as per goods/service received.

  • Prepare expendable and non-expendable items and programs items.

  • Maintain property and inventory list of expendable and non-expendable items, including servers, computers, furniture, supplies, gens and vehicles of the field and districts. Ensure inventory serial number of non-expendable items stickers/logo are correctly pasted in all items/inventory.

  • Assist for managing logistic system such as Store-Inventory (expendable items and nonexpendable physical assets, office guard management) and office building care taking including districts.

  • Issue waybills.

  • Ensure the appropriate way of transportation.

  • Ensure goods are reached in appropriate places.

  • Maintain loan and stocks book.

  • Ensure compliance with organization policies and procedures, donor regulations and local laws.

  • Maintain an overview of organization policy, systems and procedures relevant to logistics, and ensure that developments are communicated and implemented appropriately through regular reviews.

  • Advise organization of any changes government policies with regard to the logistic function that can affect the implementation of SCI- Funded project.

  • Take responsibility for the achievement of minimum standards in the programme. This will include ensuring appropriate practice in requisitioning, local purchase, clearance, transport, warehousing (including storage and stock control systems) and the issuing of supplies.

  • Ensure appropriate practice in supplier pre-qualification, tender processes, and asset disposal.

  • Be familiar with and abide by the organizational Code of Conduct, the government Code, International procedures and other regulatory codes.

Minimum Qualification and experience:

Intermediate in Business Administration, Supply Chain/Logistics, or equivalent experience. At least 3 years of experience working with I/NGO in the field of Supply Chain sector. Experience on Supply Chain/Logistics, effective written and oral communications skills, reporting skills, good computer skills including word, excel, PowerPoint, email Internet. Ability to work under pressure, develop tools to collect the information against indicator, demonstrate collaboration & team building skills, confidence to represent in district.
